About Reformeer
Reformeer is a Software-as-a-Service (SaaS) platform developed by ThinkActuary. The platform is specifically designed to help churches with their daily operations, administration, and membership management.
Our platform consists of three powerful applications:
- ReformeerFor members to access their church information, Bible study tools, and community services
- KantoorProfessional administrative software for church leaders to manage members, plan events, and analyze statistics
- SinodeAdvanced theological research tools with AI-powered Bible study
These terms and conditions apply to churches subscribing to Reformeer's services. By using Reformeer, you agree to these terms.
Subscription Fees and Payment
Council Subscription Pricing
This fee provides your church council with full access to the Kantoor administrative platform, including membership management, event planning, reporting tools, and administrative features.
Note: Individual church members can access Reformeer and Sinode features completely free of charge. Only church councils pay for administrative access to Kantoor.
Payment Method
All payments are securely processed by Paystack, our registered payment provider. We accept the following payment methods:
Automatic Renewal
Your subscription will automatically renew each month until you cancel it. You will receive a reminder email one week before the renewal date.
Please note: If a payment fails, your access to the platform will be suspended until payment is successfully received. We will notify you by email of any payment issues.
How to Subscribe
To gain access to Reformeer Kantoor, your church council needs to activate a subscription. Individual church members can use the platform for free:
Visit Kantoor
Go to reformeer.org/kantoor and sign in with your church's authorized email address.
Click "Upgrade"
In the church banner, you will see a button to activate your subscription.
Complete Payment
You will be directed to Paystack's secure payment page where you can choose and authorize your payment method.
Start Using
Once payment is successful, your subscription will be activated immediately and your church will have full access to all three applications.
Cancellation Policy
You have full control over your church's subscription and can cancel at any time. There are no long-term contracts or cancellation fees.
How to Cancel
- 1.Sign in to Kantoor and go to the Settings page
- 2.Click the "Manage subscription" button
- 3.You will be directed to Paystack's subscription management page
- 4.Click "Cancel Subscription" and follow the instructions
Effect of Cancellation
- Your subscription will be cancelled immediately and will not renew again
- You will retain access to the platform until the end of your current paid period
- You will receive a confirmation email of the cancellation
- You can resubscribe at any time by following the process in Section 3
Managed by Paystack
All subscription management (including cancellation, resumption, and payment method updates) is securely handled by Paystack. This ensures you have full control over your subscription and that your information remains private and secure.
Refund Policy
General Policy
Monthly subscription fees are non-refundable once processed. If you cancel, you will retain access to the platform until the end of the paid period.
Exceptions
Refunds may be considered in the following circumstances:
To request a refund, visit our support page and submit a detailed request. We will evaluate each case individually.
Processing Time
Approved refunds will be processed within 7-10 business days after approval. Refunds will be made to the same payment method used for the original payment.

As long as your church maintains an active subscription in good standing, Reformeer commits to the following:
- Platform AvailabilityWe will keep the platform operational and ensure all features remain available
- Ongoing SupportWe will provide technical support and assistance when needed
- Data SecurityWe will keep your data secure with regular backups and security measures
- Continuous ImprovementsWe will continue to develop new features and improve the platform
Conditions
This commitment is subject to the following conditions:
- Timely payment of subscription fees (payments must be successfully processed each month)
- Compliance with these terms and conditions
- No misuse or illegal use of the platform
Scheduled Maintenance
We reserve the right to temporarily shut down the platform for scheduled maintenance. We will notify you at least 24 hours in advance of any scheduled maintenance. This will usually be done outside peak usage times.
Data and Privacy
We are committed to protecting your personal information and complying with the Protection of Personal Information Act (POPIA).
1. What data we collect
We collect the following personal information to provide our services:
- Name and Surname
- Email address
- Phone number
- IP address and device information
- Church affiliation and role
- Billing information (processed by Paystack)
2. Why we collect it
We process your data for the following specific purposes:
- To provide access to the Reformeer, Kantoor, and Sinode applications
- To manage your church membership and roles
- To process subscription payments and billing
- To communicate important service updates and support
- To ensure the security and integrity of our platform
3. Is it voluntary?
Providing your personal information (Name, Email, Church affiliation) is mandatory to create an account and use the Reformeer platform. Without this information, we cannot provide our services to you.
4. Data Transfer and Storage
Your data is securely stored on Google Cloud Platform (Firestore). While servers may be located internationally (e.g., Europe/US), we ensure appropriate safeguards are in place.
Payment processing is handled by Paystack in South Africa. We do not store your full card details on our servers.
Your Rights: You have the right to request access to, correction of, or deletion of your personal data. Contact our support team to exercise these rights.
Changes to Terms
We reserve the right to modify these terms and conditions from time to time. We will notify you by email of any material changes at least 30 days before they take effect.
By continuing to use the platform after such changes, you agree to the new terms. If you do not agree with the changes, you can cancel your subscription as described in Section 4.
The "Effective Date" at the top of this page indicates when these terms were last updated.
